AI Ultra Festival is presented jointly by MooMeetup and Lunatechs. When you join our mailing list, apply to speak, or simply browse this site, the two organisations decide together what happens to that information — so in data-protection terms we are joint controllers of it.
This page explains, in plain language, what we collect, why, who else sees it, and how to get it changed or deleted. If anything here is unclear, email us and ask — the address is at the bottom.
What we collect, and why
Mailing list
Your email address, and your name if you give it. We use it for one thing: to tell you when tickets open and to send festival updates. Every email has an unsubscribe link. We do not sell or rent the list.
Speaker applications
Your name, email, phone number, organisation, job title, links, biography, and your proposed talk. We use it to assess your application and to contact you about it. If your talk is accepted, your name, title, organisation, photo and talk details are published on this site and in festival materials.
Accessibility and A/V needs
The speaker form asks about A/V or special requirements. Answers here can touch on health, accessibility or dietary needs, so we treat them as sensitive: they are used only to make the event work for you, seen only by the organising team, and deleted after the festival.
Site analytics
We use Google Analytics to understand which pages people read and which tickets they click, and Google Ads conversion tracking to measure whether our advertising works. This uses cookies and records your approximate location, device and browser, and the pages you visit.
When you join the mailing list
If you sign up while we are running ads, a one-way scrambled (hashed) version of your email may be sent to Google so it can tell that an advert led to a signup. Google receives the scrambled value, not your address, and it is not used to contact you.
Your rights
See it, fix it, delete it
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email the address below and we will reply within 30 days. There is no charge for a reasonable request.
Stop the emails
Use the unsubscribe link in any email, or just reply and ask.
Opt out of analytics
You can block analytics cookies in your browser settings, or install Google's opt-out browser add-on.
If you are in the UK or EU
You also have the rights given to you by the UK/EU GDPR, including the right to object to processing and to complain to your local data-protection authority.
